Despite its size and growth, the company's core HR business processes remained largely manual, particularly in the area of timesheet collection and entry. The company was in the process of deploying a new payroll system when new overtime regulations were set to take effect, creating a need for a simple, scalable, and quick solution to ensure compliance.
The Challenge
Hamra Enterprises, a rapidly growing company that owns over 163 franchise restaurants across five states and employs over 5,000 people, was faced with a significant challenge. The company needed a simple, scalable solution to comply with new overtime regulations. Their existing manual timesheet collection and entry process was unable to keep pace with the new rule's requirements. The legacy process involved employees filling out hardcopy timesheets, which were then sent to HR for manual entry into an import file. This labor-intensive process added an extra five hours to an already busy work week. Furthermore, the company was in the process of deploying a new payroll system, but the time and attendance module would have cost an extra $30,000 and taken months to implement.
The Solution
Hamra Enterprises turned to Nintex Workflow and Nintex Forms to digitally automate their critical employee timekeeping process. The solution was implemented in less than a week, easing compliance with changes to the Fair Labor Standards Act (FLSA) and digitally transforming the HR department. SharePoint Administrator, Cory Ostroski, chose the Nintex solution due to its user-friendly nature, allowing non-technical users to build and deploy forms and workflows with minimal training. Ostroski was able to build and automate the entire employee overtime process within a week using their existing SharePoint 2013 platform, with no coding required. The solution reduced data input errors and ensured that overtime hours were accurately and efficiently captured. Employees now enter their hours into a Nintex Form, which starts a Nintex Workflow that automatically routes the timesheet to the appropriate manager(s) for approval. Once approved, the workflow automatically enters the hours into an Excel worksheet that is then imported directly into the company’s payroll system.
